    GENERAL QUESTIONS

    Conference and Summit registrations grant admission to the specific event and includes all refreshments including lunches as well as admission to any drinks receptions organised by EurAsia Strategies which may be held in association with the specific event. For further details please see Event Agendas. Accommodation and travel costs are not included. Delegates must make their own hotel and travel reservations and arrangements.

    The easiest way is to register online via the web page dedicated to the event. Otherwise you email an application form back to us. Or alternatively email a scanned copy (PDF) of the registration form to info@eurasiastrategies.com We unfortunately do not accept mailed (posted) registrations forms of any kind.
    Once we receive your application, you will receive a confirmation letter via the email provided to us. We will email this confirmation to you within 2 working days of your registration in most cases. Your registration is not confirmed until you receive a confirmation email. The automatic email sent to you immediately after you completed online payment, acknowledging receipt of your application via our website is NOT a confirmation of your place.
    Simply re-visit the event page and enter the other delegate’s details, in the same way as you entered yours originally.
    It is your own responsibility to arrange and pay for your own accommodation and travel. We advise that arrangements will be made as early as possible in order to avoid disappointment.
    For many events EurAsia Strategies will endeavor to negotiate preferential room rates for delegates who wish to stay in the conference venue, or in nearby hotels. For further details, please see “Venue” for each specific event, summit or conference. Our discounted rates are normally subject to deadlines and availability therefore please book early so to avoid disappointment. If hotel rates or accommodation information is not listed under “venue” it means we have no favorable rates secured for the specific event.
    If you have any special needs, disabilities, and/or dietary restrictions that we may address to make your participation at our events more enjoyable, please do let us know when registering.
    Please do note that EurAsia Strategies hold no responsibility for any items lost, stolen or damaged during one of our events. However any items found during one of our events will be handed over to the venue owner (often hotel reception). Please feel free to contact us via email or our online contact form selecting “Event” to check if we handed in any items after an event and/or to obtain contact details for the responsible people at the event – we keep a record of all items found during an event. 

    PAYMENTS QUESTIONS

    Please note that we only process payments via bank transfer, over the phone or via our online payment system and not via fax or email. We accept the following methods of payment: Bank Transfer: EurAsia Strategies company bank details are listed on relevant event registration forms. Please see the terms and conditions and fill in relevant event registration forms. Payments will be required upon receipt of invoice. Online Payments: Please go to our relevant event website under registration page, fill in the registration form and follow the steps through to payment. Pay online with payment card of choice. Payments over the phone: Please call +44 844 318 0 800.
    Upon completion and return of the registration form, full payment is required no later than 14 days from the date of invoice. Payment must be received prior to the conference date. EurAsia Strategies reserve the right to refuse admission to a conference if payment has not been received.
    We endeavor to email your invoice to you within three to five working days of receipt of registration. The invoice will be send to the email address supplied during registration and payment. If you have not received your invoice within this timeframe, please contact us via email or our online contact form selecting “Invoice” as your reason for contact. Please include the relevant delegate and event details in the body of the email, and a duplicate invoice will be sent out via email again. Please note that the emailed PDF is the original invoice. EurAsia Strategies does its best to run a paperless company and we therefore do not post or fax hardcopy versions of your invoices.
    VAT is applicable on payments for all events taking place in European Union countries. Organisations registered for VAT in that country may reclaim the tax. Please give us your company VAT registration number when you apply. Organisations outside the UK and the EC should check with their excise authority as to which domestic fiscal regulations apply.
    Please contact us via email our online contact form selecting “Invoice” as your reason for contact. Do not forget to list your invoice number and provide us with the new/required changes to be made.
    For paying delegates: yes another person may attend in your place at no extra cost. To change the details of attendee / delegate please contact us via email or our online contact form selecting “Delegate” as your reason for contact. Please make sure to provide all the details listed below for us to make the required amendment(s):We need from you (delegate cancelling participation):Your full name as registered

    Delegate changes can be made at the event itself: however, we would require written authorisation from the confirmed delegate to be shown at the registration desk. Further please note that for changes onsite (at the venue) we will charge an additional £40 administration/handling fee.
    Please note that EurAsia Strategies does not provide any advice on actual visa application or processes, however we can provide our registered delegates / sponsors with visa support letters if needed once their place at the event has been confirmed. Please email to info@eurasiastrategies.com stating the conference you are attending as well as the following details listed below;

    EurAsia Stategies is not responsible for guaranteeing delegates’ visa applications. However should your visa application be declined, EurAsia Stategies will up until 14 days (two weeks) prior to the event provide a full refund less 20% handling fee of any conference fees paid. After this date no refunds will be given. To obtain the refund please email info@eurasiastrategies.com listing “Visa Declined” in subject line. Also please attach proof of the declined application from the visa issuing authorities.
    For the cancellation of paid bookings: A full refund less 20% handling fee will be returned for all cancellations received in writing 30 days prior to the conference. After this date there will be no refunds on paid invoices. Any invoices still outstanding must be paid in full. Please send your cancellation request for all registrations to info@eurasiastrategies.com listing “Cancellation” in the subject line and reason for contact. Please note that we do not refund you for any travel or hotel expenses that may have been incurred in the planning of the event participation.
    Full access to delegate lists pre- and post-conference is only granted to the event’s sponsors. If you are interested in sponsoring an event, please contact us via the online form selecting “Sponsoring” as your reason for contact.
    Speaker presentations will be posted on an event’s webpage in the two weeks following the end of a conference, summit or event together with other relevant post event information. To access the presentations you will need to login using your username and password. Which was allocated to you post event. Please note that not all of the presentations will be made available. EurAsia Strategies can only publish presentations with the author’s permission. If you wish to access a presentation which is not available online, we suggest you contact the presenter or relevant sponsor representative directly. Please note that we cannot provide you with contact details for speakers other than the once listed in printed materials.
